cancellation policy & procedures

It is our intention to provide our clients with the best therapeutic and professional services in a relaxed and friendly environment. In our commitment to provide a unique and outstanding experience for you, we have adopted the following policies. Being that we are a small business owner, we kindly ask that you respect our policies around cancellation as we continuously strive to offer and maintain the best talent and services in the region.

The Zen Den Team

  • Please arrive 5 minutes before your session. You will have ample time to discuss your specific needs with your therapist, fill out any necessary client forms and, of course, blissfully enjoy your service. 

    If you arrive late to your scheduled appointment time, please understand that your service may have to be shortened to allow your therapist to stay on schedule. Therapists will not work past the designated time. Payment will not be adjusted. 

  • ATTIRE
    Please wear loose, comfortable clothing and expect to remove any accessories including jewelry. If you are seeing a Level 1-3 practitioner you will remain fully clothed for the duration of your session. If you are seeing a Level 4-5 practitioner, you will have the option to undress or remain clothed. You can expect to be lying face up, on your side, facedown, or be seated depending on the type of manipulations necessary. 

    CLEANLINESS

    We do not provide showers at our office, please bathe prior to your appointment. Avoid wearing strong perfume or cologne. 

    APPRECIATION

    If you enjoyed your service you can show it to your therapist with a monetary tip. Tips can be made in cash, through Venmo (@zenden-newport), or on your credit card at the time of booking. 

    CONVERSATION

    It is your choice to talk to your therapist or remain quiet throughout your session. Your therapist will follow your lead and mirror your decision. There are times that your therapist may need to speak to you to ask you to reposition, request feedback on pressure, or explain a finding. 

    INFORMED CONSENT 

    Prior to each session, a conversation will be had to lend more information to your treatment plan. At your initial visit, you will fill out a confidential Client Health History form as well as a Waiver of Liability. The approval of this e-form, along with your signature at the bottom of the Waiver of Liability confirm that you understand the Policies & Procedures of the Zen Den | Newport LLC and agree to comply with our standards of practice. Clients who have not been seen for a year or more may be asked to refill these forms.

    RESPECT FOR CLIENT NEEDS AND BOUNDARIES 

    We are always happy to adjust pressure, temperature, music volume or style of touch. This is your experience, so please do not hesitate to ask. Any manipulations that are uncomfortable physically or emotionally can be refused entirely or performed at a later date. 

    ***a note on trauma: When we have experienced ‘trauma’, however you have come to understand it, know that according to the Somato-Emotional Release process, we quite literally ‘store our issues in our tissues.’ Even light palpation can allow for the floodgates to open in the form of memories, thoughts, feelings, smells, colors, sounds, etc. If this is too heavy for you or you need to break from your session, please tell your therapist. We are trained specifically to hold this space for you. 

  • All sessions are prepaid upon booking. The Zen Den offers a 48-hour cancellation policy. Should you need to cancel, please do so through the “cancel appointment” button at the bottom of your confirmation email. For all sessions canceled before 48 hours, a credit will be applied to the client's account for use at a later date with no expiration. If a cancellation occurs within 48 hours before your scheduled appointment time, the client balance does not apply to any future appointments.

    ***Note: Calls/Texts/Emails do not constitute a valid cancellation. Please cancel using the button at the bottom of your appointment confirmation email.

    Please use the booking service to reschedule. If you do not find a time that you can reschedule, please cancel the appointment and reach out via email to reschedule: julia@zendennewport.com

    ***No shows, cancellations made upon arrival, and appointments cancelled LESS THAN 48 HOURS before the appointment time will not be allowed to be applied to a future service.

    ***A prepaid gift certificate will suffice for a missed appointment but cannot be applied to future services or goods.

  • Practitioner(s) will:

    1. Provide the highest quality bodywork possible to those who seek their professional services.

    2. Apply manual techniques, and may apply adjunct practices, with the intention of positively affecting the health and well-being of the client. 

    3. Recognize the worth and individuality of each person by not discriminating or behaving in any prejudicial manner with clients and/or colleagues.

    4. Demonstrate professional excellence through regular self-assessment of strengths, limitations and effectiveness by continued education and training.

    5. Recognize the confidential nature of the professional relationship with clients and respect each client’s right to confidentiality. (We strictly follow the guidelines of HIPAA).

    6. Practice the highest standards of professionalism.

    7. Accept responsibility to do no harm to the physical, mental and emotional well-being of self, clients and associates.

    8. Be truthful in advertising and marketing, and refrain from misrepresenting his or her services, charges for services, credentials, training, experience, ability or results.

    9. Not give medical advice. Any suggestions for stretching or nutritional advice should be discussed with your Medical Practitioner. 

    EXISTING AND NEW MEDICAL CONDITIONS

    It is the responsibility of the client to keep the therapist informed of any changes in state of health. This includes pregnancy, medicines, medical devices or implants, and medical treatment being taken. 

  • We do not accept insurance. We provide therapeutic bodywork, which is considered non-medical. We do not work with insurance companies. We operate strictly as private pay. Some HSA/FSA accepted.
